• The meter reading: ask for it in writing. It is the single best proxy for how much working life the machine has left.
• A test print and a test copy: print a page and copy a page, then compare them. Streaks on the copy but not the print point to the scanner; artefacts on both point to the print path.
• Paper handling: run several sheets through every tray, including the bypass. Hesitation or misfeeds point to worn rollers.
• The scan path: scan a document to email or USB and check the file. This exercises the feeder, the optics and the network path in one go.
• What happens to the hard drive: ask whether stored documents are overwritten or the drive replaced before handover.

The words get used loosely in adverts, so it pays to know what each one should mean before you compare prices:

The practical test when buying: ask the seller which of the three applies and ask for the meter reading. A vague answer is itself an answer, and it belongs in the price you are willing to pay.

Used copiers fail in predictable ways. Knowing the failure points tells you exactly what a dealer’s preparation is worth:

• Worn feed rollers and paper-path parts: the classic cause of misfeeds and jams. Rollers are consumable parts with a finite life; a dealer replaces worn ones during refurbishment.
• Fuser wear: toner that does not fuse properly, smudges or creased output usually points to the fuser. It is checked and replaced or serviced as needed.
• Drum wear: faded, streaked or ghosted images come from a drum at the end of its life. Drums are inspected and replaced where required.
• Dirty scanner optics: copies come out streaky while prints stay clean, because the scanner glass and mirrors have gathered dust. A proper preparation includes cleaning the whole scan path.
• The hard drive: an office copier’s disk holds copies of documents it has printed and scanned over the years. Data overwrite or drive replacement protects both you and the previous owner, and it is standard in a dealer’s process.
• End-of-life consumables: as-is sellers often ship machines with toner, waste bottles and drums that are nearly empty. A dealer factors fresh consumables into the quoted condition and price.
